Responsibilities
- Manage and maintain all official city records, including ordinances, resolutions, meeting minutes, and contracts, ensuring compliance with public records laws.
- Prepare and disseminate meeting agendas, packets, and supporting materials for City Commission and committee meetings.
- Act as the primary point of contact for the public, City officials, and media, answering inquiries regarding city policies and procedures.
- Coordinate and administer local elections, including voter registration, candidate filings, and election day operations.
- Assist in the preparation of the annual budget and financial reports under the direction of the City Manager.
- Oversee the licensing and permits process, ensuring accuracy and timely processing.
- Maintain strict confidentiality of sensitive information and personnel files.
Qualifications
- High School Diploma or GED required; Associate’s degree in Public Administration, Business Administration, or a related field is preferred.
- Minimum of 3 years of progressively responsible experience in administrative support, records management, or a government clerical role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management software (e.g., CivicPlus, Accela, or similar).
- Strong attention to detail with the ability to proofread and edit complex documents.
- Excellent verbal and written communication skills, with the ability to interact professionally with diverse audiences.
- Demonstrated ability to manage multiple priorities and meet strict deadlines in a fast-paced environment.
- Knowledge of Florida Sunshine Laws and public records procedures is a plus.
