Responsibilities

  • Records Management: Maintain and secure all official city records, including ordinances, resolutions, contracts, and meeting minutes in compliance with state and federal laws.
  • Meeting Administration: Prepare and distribute agendas for City Council and Commission meetings; attend meetings to take accurate minutes and prepare post-meeting documentation for publication.
  • Public Information: Serve as the primary point of contact for the public regarding records requests, ensuring transparency and timely responses to inquiries.
  • Administrative Support: Assist the City Manager and department heads with special projects, reports, and correspondence as needed.
  • Filing and Documentation: Oversee the daily filing system, ensuring all documents are categorized, indexed, and easily retrievable for staff and legal purposes.
  • Compliance: Ensure all municipal actions adhere to open meeting laws and statutory requirements.

Qualifications

  • Education: High School Diploma or GED equivalent required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or Paralegal Studies is preferred.
  • Experience: Minimum of 3-5 years of experience in a municipal office, administrative support role, or records management.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with government-specific software (e.g., ESRI, Accela, or similar) is highly desirable.
  • Communication: Excellent written and verbal communication skills, with the ability to interact professionally with the public, officials, and staff at all levels.
