Responsibilities
- Records Management: Oversee the maintenance, archiving, and retrieval of official city documents, ensuring compliance with state retention schedules and public records laws.
- Election Administration: Manage local election logistics, including voter registration, ballot preparation, and election day operations, ensuring adherence to Minnesota election laws.
- Meeting Coordination: Prepare and distribute official meeting agendas, minutes, and reports for the City Council and various commissions; ensure accurate documentation of proceedings.
- Permitting and Licensing: Process applications for business licenses, permits, and various city approvals in a timely and accurate manner.
- Public Relations: Serve as the primary point of contact for public inquiries regarding city ordinances, meeting schedules, and administrative procedures.
- Compliance: Ensure all office procedures align with municipal bylaws, state statutes, and best practices for public administration.
Qualifications
- Education: High school diploma or GED required; Associate degree in Public Administration, Political Science, or a related field preferred.
- Experience: Minimum of 3-5 years of experience in administrative support, records management, or government clerical work.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management or GIS software is highly desirable.
- Communication: Excellent verbal and written communication skills, with the ability to draft clear, professional correspondence.
- Attention to Detail: Demonstrated ability to maintain strict confidentiality and handle high volumes of detailed data with 100% accuracy.
- Legal Knowledge: Basic understanding of open meeting laws (Minnesota Government Data Practices Act) and public record retention is a plus.
