Responsibilities
- Oversee official city records management, including ordinances, resolutions, and municipal archives
- Manage City Council meetings agenda preparation, minute documentation, and public record requests
- Coordinate municipal elections and voter registration processes in compliance with state regulations
- Serve as custodian of the city seal and authenticate official documents
- Lead digital transformation of records systems ensuring accessibility and security
- Advise municipal departments on records retention policies and legal compliance
- Manage constituent services related to municipal records and public information requests
Qualifications
- Bachelor's degree in Public Administration, Political Science, or related field
- 5+ years experience in municipal government records management
- Illinois Notary Public certification required
- Advanced proficiency in records management software (e.g., Laserfiche, DocuWare)
- Deep knowledge of Illinois Open Meetings Act and Freedom of Information Act
- Experience managing municipal elections and voter registration systems
- Proven ability to handle confidential information with discretion and integrity
