Responsibilities
- Manage and maintain the official records and archives of the City, ensuring proper filing, indexing, and preservation of documents.
- Prepare, distribute, and post official meeting agendas, notices, and minutes for City Council and Board meetings.
- Receive, log, and respond to public inquiries, complaints, and requests for information in a timely and professional manner.
- Verify the authenticity of documents and ensure strict compliance with municipal codes, ordinances, and state regulations.
- Assist in the coordination of elections and voting procedures within the district.
- Manage the office’s correspondence, including drafting and editing official correspondence and memos.
- Oversee the operation of the front desk, including reception duties and appointment scheduling.
Qualifications
- High school diploma or GED required; Associate’s degree in Public Administration or Business Management is preferred.
- Minimum of 2 years of experience in an administrative or clerical role, preferably within a government or municipal setting.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.
- Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Strong attention to detail and the ability to multi-task in a fast-paced environment.
- Ability to maintain confidentiality and adhere to strict deadlines.
