Responsibilities
- Manage and maintain official city records, ordinances, and resolutions with meticulous documentation
- Administer municipal elections, including ballot preparation and polling place coordination
- Provide notary services and certify official documents for public and government use
- Oversee public records requests ensuring timely, accurate responses per California Public Records Act
- Prepare agendas, minutes, and official documentation for City Council meetings
- Manage the city's seal, contracts, and legislative tracking system
- Train staff on records management protocols and legislative procedures
Qualifications
- Bachelor's degree in Public Administration, Political Science, or related field
- Minimum 3 years experience in municipal government records management
- California Notary Public certification or ability to obtain within 6 months
- Expertise in California Public Records Act and Brown Act compliance
- Advanced proficiency in document management systems (e.g., Laserfiche, M-Files)
- Exceptional written communication skills for drafting official documents
- Ability to manage multiple concurrent projects with strict deadlines
