Responsibilities

  • Manage and maintain the official records of the City, ensuring strict compliance with state and federal public records laws.
  • Process and respond to public records requests in a timely and professional manner, acting as the primary liaison for transparency initiatives.
  • Prepare, distribute, and archive meeting agendas, minutes, and resolutions for the City Council and various boards.
  • Provide exceptional customer service to citizens, businesses, and visitors at the front desk and via phone/email.
  • Supervise and coordinate the workflow of clerical staff within the department to ensure operational efficiency.
  • Manage incoming correspondence, including letters, emails, and reports, ensuring accuracy and appropriate distribution.

Qualifications

  • High school diploma or GED equivalent; Associate’s degree or certification in Paralegal Studies, Public Administration, or Government is strongly preferred.
  • Minimum of three (3) years of progressively responsible administrative or clerical experience in a government or public sector environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with records management software (e.g., Sanborn, Accela) is required.
  • Excellent written and verbal communication skills, with the ability to draft clear, concise, and professional documents.
  • Proven ability to maintain strict confidentiality and handle sensitive information with the highest level of discretion.
  • Strong organizational skills with the ability to prioritize tasks, manage multiple deadlines, and solve problems efficiently.
  • Ability to work flexible hours, including occasional evenings or weekends for council meetings.
