  • Meeting Coordination: Oversee the logistics of City meetings, including scheduling, notice posting, and assisting with the preparation of meeting materials.
  • Customer Service: Serve as the primary point of contact for the public regarding meeting schedules, agendas, and access to official records.
  • Archiving: Ensure the proper filing, indexing, and archiving of all official City documents to ensure long-term accessibility and legal compliance.
  • Vendor Relations: Manage contracts and procurement related to meeting services and printing needs.

Qualifications

  • Education: High school diploma or GED equivalent; an Associate’s degree or Bachelor’s degree in Public Administration, Paralegal Studies, or a related field is preferred.
  • Experience: Minimum of 3-5 years of progressively responsible experience in municipal or government administration.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with Records Management software (e.g., Accela, Lawtivity) is highly desirable.
  • Legal Knowledge: Strong working knowledge of the California Public Records Act and Brown Act (Open Meeting Law).
  • Communication: Excellent written and verbal communication skills with the ability to draft clear and professional correspondence.
