Responsibilities
- Records Management: Oversee the creation, preservation, and retrieval of official city documents, ordinances, and meeting minutes.
- Meeting Administration: Prepare and distribute council agendas, manage meeting logistics, and accurately record and certify minutes of all City Council and committee meetings.
- Public Information: Serve as the primary point of contact for public records requests (FOIA) and ensure compliance with transparency laws.
- Election Support: Assist in voter registration drives, election logistics, and the administration of municipal elections.
- Compliance & Reporting: Ensure all city procedures adhere to local, state, and federal regulations and prepare required reports for the City Manager and Council.
- Community Outreach: Coordinate outreach initiatives to inform the community about city services and upcoming public hearings.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or Political Science is preferred.
- Experience: Minimum of 3-5 years of experience in administrative support, office management, or municipal government operations.
- Skills: Strong proficiency in MS Office Suite (Word, Excel, Outlook) and experience with records management software.
- Communication: Exceptional verbal and written communication skills with the ability to interact professionally with the public, council members, and staff.
- Attention to Detail: Unwavering commitment to accuracy and confidentiality in handling sensitive information and official records.
- Knowledge: Familiarity with California government codes and local municipal procedures is highly desirable.
