Responsibilities

  • Record Management: Maintain and organize official city records, minutes, ordinances, resolutions, and contracts with strict adherence to retention schedules.
  • Meeting Administration: Prepare, publish, and distribute agendas and minutes for City Commission and Board meetings; ensure compliance with Open Meeting Laws (Oklahoma Open Meetings Act).
  • Public Records: Process and respond to public information requests (FOIA) efficiently and accurately.
  • Office Operations: Manage the day-to-day operations of the City Clerk's office, including reception duties, filing, and distribution of mail.
  • Official Ceremonies: Serve as the custodian of the City Seal, administer oaths of office, and coordinate official proclamations and recognitions.
  • Staff Supervision: Lead, mentor, and supervise clerical staff, assigning tasks and evaluating performance to ensure departmental excellence.
  • Vendor Liaison: Coordinate with external vendors regarding printing, publishing, and legal document services.

Qualifications

  • Education: High school diploma or GED equivalent; Associate’s degree in Business Administration, Public Administration, or Paralegal Studies is preferred.
  • Experience: Minimum of 3-5 years of progressively responsible experience in municipal government, corporate administration, or a related field.
  • Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with records management software (e.g., Accela, Sanborn, or similar).
