Responsibilities
- Prepare and maintain accurate official records of all City Council meetings, including minutes, resolutions, and ordinances.
- Manage the maintenance, organization, and retrieval of public records in compliance with state and federal laws.
- Prepare and distribute agendas, packets, and supporting materials for upcoming council meetings.
- Act as the primary liaison between the City Council, city departments, and the general public regarding records requests and inquiries.
- Oversee the administration of oaths of office and certify official city documents and licenses.
- Coordinate logistics for elections and voter registration activities within the city limits.
- Assist in the development and implementation of policies and procedures for city records management.
Qualifications
- High school diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Political Science, or a related field is preferred.
- Minimum of 2-3 years of experience in administrative support, records management, or a related government role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management software.
- Excellent verbal and written communication skills with the ability to write clear and concise meeting minutes.
- Strong attention to detail and the ability to maintain strict confidentiality of sensitive information.
- Ability to work flexible hours, including evenings and weekends as required during council meetings or special events.
