Responsibilities
- Meeting Administration: Prepare and distribute agendas, compile official meeting minutes, and ensure accurate recording of all City Council and Board meetings.
- Records Management: Oversee the creation, maintenance, and archival of all city ordinances, resolutions, contracts, and historical records in compliance with the Kansas Open Records Act.
- Public Information: Serve as the primary point of contact for public inquiries, facilitate Freedom of Information Act (FOIA) requests, and disseminate news releases to the media.
- Election Administration: Manage voter registration, coordinate local elections, and oversee polling place operations to ensure fair and accurate voting.
- Compliance & Ethics: Ensure the Clerk's office adheres to state statutes, municipal codes, and internal policies regarding conflict of interest and ethical conduct.
- Purchasing Oversight: Assist in the preparation of specifications for bids and contracts, ensuring competitive bidding processes are followed.
Qualifications
- Education: Bachelor’s degree in Public Administration, Business Management, or a related field is preferred; high school diploma with significant relevant experience will be considered.
- Experience: Minimum of three to five years of experience in municipal government, records management, or a similar administrative role.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with document management systems or CRM software.
- Communication: Exceptional written and verbal communication skills with the ability to interact effectively with elected officials, staff, and the general public.
- Attention to Detail: Proven ability to manage complex schedules, maintain precise records, and handle sensitive information with the highest level of confidentiality.
- Leadership: Demonstrated ability to lead a small team and manage multiple priorities in a fast-paced environment.
