Responsibilities
- Customer Service: Greet visitors, answer incoming phone calls, and respond to inquiries via email or in person with a focus on courtesy and accuracy.
- Document Management: Process, file, and maintain accurate records of sensitive state documents and client files in compliance with state regulations.
- Administrative Support: Prepare routine correspondence, memos, and reports using Microsoft Office Suite; assist in the preparation of meeting agendas and minutes.
- Data Entry: Input and verify data into internal databases and case management systems with a high degree of precision and attention to detail.
- Office Operations: Maintain the reception area and office supplies inventory; coordinate scheduling for supervisors and department staff.
- Compliance: Assist in the preparation of reports for state auditors and ensure all paperwork meets federal and state compliance standards.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or coursework in Business Administration preferred.
- Experience: No prior professional experience required; entry-level candidates with strong academic records are encouraged to apply.
- Skills: Proficiency in Microsoft Word, Excel, and Outlook is required; ability to learn new software quickly is essential.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with diverse populations.
