Responsibilities
- Operational Support: Manage daily office operations, including mail distribution, supply management, and facility maintenance coordination.
- Records Management: Organize and maintain official government records in strict compliance with federal archival standards and privacy regulations.
- Scheduling & Meetings: Coordinate complex calendars for senior staff, schedule meetings, and prepare meeting agendas and briefing packets.
- Travel Coordination: Process travel vouchers, arrange domestic and international travel itineraries, and ensure compliance with federal travel regulations.
- Communication: Draft, edit, and proofread correspondence, reports, and official documents to ensure clarity and professionalism.
- Customer Service: Serve as the primary point of contact for visitors and callers, providing accurate information and directing inquiries appropriately.
- Grant Administration: Assist in the preparation and submission of grant applications and maintain project-related documentation.
Qualifications
- Education: Bachelor’s degree from an accredited college or university in Public Administration, Business Administration, or a related field is preferred. Equivalent experience may be substituted.
- Experience: At least 2 years of professional administrative experience in a government or corporate setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with document management systems.
- Knowledge of Regulations: Familiarity with federal regulations, procurement processes, and privacy laws (e.g., FERPA, HIPAA) is highly desirable.
- Communication: Superior written and verbal communication skills with the ability to interact with diverse stakeholders.
- Attention to Detail: Demonstrated ability to manage multiple priorities and ensure accuracy in high-volume document processing.
- Certifications: Active Secret clearance or ability to obtain one.
