Responsibilities
- Oversee daily administrative functions, including mail distribution, filing, and supply management, ensuring strict adherence to federal protocols.
- Prepare, review, and edit a variety of official documents, including memos, policy briefs, and meeting minutes with exceptional grammatical accuracy.
- Manage confidential records and databases, ensuring data integrity and secure disposal of sensitive information in accordance with the Privacy Act.
- Coordinate complex calendars for department heads, schedule meetings, and arrange travel logistics for federal officials.
- Assist in the preparation of budget proposals and financial reports, tracking expenditures against allocated funds.
- Act as the primary point of contact for internal staff and external stakeholders, resolving inquiries and facilitating clear communication channels.
- Conduct research on federal regulations and industry trends to recommend process improvements and policy updates.
Qualifications
- Minimum of 4 years of progressive experience in administrative or program support roles within the public sector or a large-scale organization.
- Bachelor's Degree in Public Administration, Business Management, or a related field (or equivalent combination of education and experience).
- Deep understanding of federal acquisition regulations (FAR) and government contracting processes is highly preferred.
- Proficient in the use of government case management systems and advanced MS Office Suite (Excel pivot tables, PowerPoint presentations).
- Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion.
- Strong analytical skills with the ability to interpret complex data and produce clear, actionable reports.
- Excellent interpersonal skills with the ability to collaborate effectively across diverse teams.
