Responsibilities
- Manage High-Volume Correspondence: Process, route, and track incoming and outgoing mail, emails, and faxes with 100% accuracy.
- Coordinate Scheduling: Manage complex calendars for senior officials, including domestic and international travel itineraries and meeting arrangements.
- Prepare Documentation: Draft, edit, and format a wide variety of reports, briefings, and administrative materials according to federal standards.
- Records Management: Maintain accurate, confidential, and organized filing systems for both digital and physical records.
- Office Operations: Oversee office supplies, equipment maintenance, and vendor relationships to ensure a smooth workflow.
- Client Support: Serve as the primary point of contact for internal and external stakeholders, addressing inquiries professionally and promptly.
Qualifications
- Education: High School Diploma or GED required; Associate’s Degree in Business Administration or related field preferred.
- Experience: Minimum of 2-4 years of administrative experience in a government or corporate setting.
- Federal Knowledge: Familiarity with federal regulations, procurement processes, or security protocols is a major plus.
- Communication: Excellent written and verbal communication skills with the ability to articulate complex information clearly.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software quickly.
- Adaptability: Ability to work independently and manage multiple competing priorities in a fast-paced environment.
