Responsibilities
- Manage High-Volume Correspondence: Draft, review, and edit complex federal correspondence, memos, and reports with a focus on accuracy and adherence to OPM standards.
- Travel & Expense Management: Process travel vouchers and expense reports for executives using Concur, ensuring strict compliance with federal travel regulations.
- Calendar & Meeting Coordination: Schedule and coordinate high-level meetings, prepare briefing materials, and manage conference calls with internal and external stakeholders.
- Records Management: Oversee the organization, retention, and security of sensitive federal records in accordance with the Federal Records Act.
- Procurement Support: Assist in the preparation of requisitions, track orders, and maintain inventory for office supplies and equipment.
- Office Operations: Serve as the point of contact for facility maintenance, security clearance updates, and visitor management protocols.
Qualifications
- Education: Bachelor’s degree in Business Administration, Public Administration, or a related field is preferred.
- Experience: A minimum of 4-6 years of progressive administrative experience, preferably within the federal government or a government contracting environment.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat. Experience with SharePoint or Concur is highly desirable.
- Knowledge: Strong understanding of federal administrative procedures, travel regulations (DFARS/FAR), and record-keeping standards.
- Communication: Exceptional verbal and written communication skills with the ability to interact professionally with senior officials and the public.
- Soft Skills: Proven ability to prioritize tasks, manage multiple deadlines under pressure, and maintain strict confidentiality.
