Responsibilities
- Office Operations Management: Oversee the daily functioning of the office, including mail processing, supply management, and facility coordination to ensure a seamless workflow.
- Record Keeping & Compliance: Maintain accurate and up-to-date federal filing systems, ensuring strict adherence to OMB Circular A-123 and agency-specific compliance standards.
- Correspondence & Reporting: Draft, proofread, and distribute official government correspondence, memos, and reports with a focus on clarity and precision.
- Travel & Logistics: Coordinate complex travel itineraries, arrange conference venues, and manage logistics for interagency meetings and briefings.
- Contract Administration Support: Assist project managers in reviewing contract deliverables, processing invoices, and maintaining project documentation.
- Regulatory Adherence: Ensure all administrative processes comply with federal laws, executive orders, and internal agency policies.
Qualifications
- Education: High school diploma or GED required; Associate's degree in Business Administration or a related field is preferred.
- Experience: Minimum of 3-5 years of administrative experience, preferably within the federal or government contracting sector.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat Pro; experience with case management software is a plus.
- Knowledge: Familiarity with Federal Acquisition Regulation (FAR) basics and standard government forms (SFs) is highly desirable.
- Communication: Exceptional written and verbal communication skills with the ability to communicate complex information clearly.
- Integrity: Strong ability to handle sensitive and confidential information with the highest level of discretion and professionalism.
