The Role:
As a Federal Administrative Specialist, you will act as the backbone of our office operations, managing sensitive information, coordinating high-level meetings, and ensuring compliance with federal regulations.
Responsibilities
- Office Management: Oversee daily office operations, including supply chain management, vendor coordination, and facility maintenance to ensure a productive work environment.
- Program Support: Provide comprehensive administrative support to federal program managers, including drafting reports, preparing briefing materials, and maintaining project documentation.
- Communication Liaison: Serve as the primary point of contact for internal and external stakeholders, managing correspondence, routing inquiries, and scheduling high-profile meetings.
- Compliance & Records: Maintain strict adherence to federal record-keeping standards, ensuring the secure and organized storage of electronic and physical files.
- Event Coordination: Plan and coordinate conferences, training sessions, and stakeholder engagements, including travel arrangements and logistics.
- Financial Administration: Assist in the preparation of expense reports, invoices, and budget tracking for departmental initiatives.
Qualifications
- Education: Bachelor’s degree in Business Administration, Public Administration, or a related field is preferred; equivalent professional experience will be considered.
- Experience: Minimum of 3-5 years of administrative experience within the federal government or federal contracting sector.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with case management or CRM software (e.g., Salesforce, Concur).
- Security Clearance: Ability to obtain and maintain a Public Trust clearance or similar government security certification.
- Communication: Exceptional written and verbal communication skills with the ability to draft professional correspondence and technical reports.
- Organization: Proven track record of managing multiple priorities, meeting strict deadlines, and maintaining absolute confidentiality.
