Responsibilities
- Oversee High-Level Administrative Operations: Manage complex scheduling, meeting coordination, and logistics for executive leadership, ensuring optimal use of time and resources.
- Prepare Official Correspondence: Draft, edit, and proofread high-level correspondence, reports, and presentations with strict adherence to grammar and federal style guidelines.
- Ensure Regulatory Compliance: Monitor and implement federal administrative regulations, ensuring all office procedures align with current laws and VA policies.
- Facilitate Stakeholder Communication: Serve as the primary point of contact for internal and external stakeholders, managing inquiries and routing matters to the appropriate personnel efficiently.
- Manage Office Resources: Oversee inventory control for office supplies, equipment, and facilities, negotiating contracts and managing budgets for administrative support services.
- Coordinate Special Projects: Lead or support special projects by conducting research, compiling data, and presenting findings to leadership teams.
Qualifications
- Education: A Bachelor's degree from an accredited college or university is preferred; a combination of education and experience may be substituted.
- Experience: At least 3 years of progressively responsible administrative experience, preferably within a government or large organizational setting.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management systems.
- Communication Skills: Exceptional written and verbal communication skills, with the ability to articulate complex information clearly and professionally.
- Interpersonal Skills: Strong ability to interact with individuals at all levels, including senior executives and the general public, with tact and diplomacy.
- Confidentiality: Demonstrated ability to maintain strict confidentiality regarding sensitive information and government records.
