Responsibilities
- Manage incoming correspondence, including email, mail, and phone inquiries, ensuring timely and accurate responses.
- Coordinate and schedule meetings, prepare agendas, and compile minutes for departmental and executive-level meetings.
- Organize and maintain complex filing systems, both electronic and physical, ensuring strict adherence to federal record-keeping regulations.
- Assist in the preparation of travel arrangements, expense reports, and procurement requests in compliance with agency policies.
- Perform general office support duties, such as copying, scanning, and printing documents, and managing office supplies inventory.
- Support special projects as assigned by management, requiring strong problem-solving skills and adaptability.
- Ensure a professional and welcoming environment for visitors and staff.
Qualifications
- U.S. Citizenship is required for this position.
- Must be able to obtain and maintain a Secret Security Clearance.
- High School Diploma or GED equivalent required; Associate’s degree or higher preferred.
- Minimum of 2 years of administrative experience in a professional office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn new software quickly.
- Excellent verbal and written communication skills with the ability to draft clear and concise correspondence.
- Strong organizational skills with the ability to prioritize multiple tasks and meet strict deadlines.
