Responsibilities
- Manage High-Volume Correspondence: Serve as the primary point of contact for incoming inquiries, drafting and routing official correspondence with precision and adherence to federal guidelines.
- Office Operations: Oversee the day-to-day logistics of the office, including scheduling executive meetings, managing calendars, and coordinating travel arrangements for senior leadership.
- Records Management: Maintain accurate and secure filing systems for both physical and electronic records, ensuring compliance with the National Archives and Records Administration (NARA) standards.
- Reporting & Analysis: Prepare comprehensive reports, briefings, and statistical data summaries for internal review and external stakeholders.
- Event Coordination: Plan and execute internal staff meetings, training sessions, and government-sponsored events, ensuring all logistical requirements are met.
- Resource Allocation: Monitor office supply inventory and manage budget expenditures for administrative supplies and equipment.
Qualifications
- Education: Bachelor’s Degree in Business Administration, Public Administration, or a related field preferred; an equivalent combination of education and experience will be considered.
- Experience: Minimum of 3-5 years of administrative experience within a government or corporate environment.
- Citizenship: Must be a U.S. Citizen and eligible for a Secret Level Security Clearance.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with case management or HRIS software (e.g., Workday, SAP) is highly desirable.
- Communication: Excellent verbal and written communication skills with the ability to convey complex information clearly to diverse audiences.
