Responsibilities
- Manage Federal Records & Compliance: Oversee the classification, retention, and secure disposal of federal records in accordance with the Federal Records Act and agency guidelines.
- Stakeholder Communication: Draft and edit high-level correspondence, briefing materials, and internal memos for senior leadership, ensuring clarity and professional tone.
- Operational Coordination: Coordinate logistics for inter-agency meetings, conferences, and site visits, including travel arrangements and agenda management.
- Process Improvement: Analyze current administrative workflows to identify inefficiencies and implement process improvements that enhance productivity.
- Grant & Funding Administration: Assist in the tracking of grant applications, sub-award management, and financial reporting requirements.
- Office Management: Maintain office inventory, manage supply procurement, and ensure a safe, compliant work environment.
Qualifications
- Education: Bachelor’s degree in Public Administration, Business, or a related field is preferred; High School diploma with 5+ years of federal administrative experience may be considered.
- Experience: Minimum of 3-5 years of experience in federal, state, or large-scale corporate administrative environments.
- U.S. Citizenship: Must be a U.S. citizen and eligible for a government security clearance.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with government-specific software (e.g., eOPF, Grants.gov, iCAP).
- Communication Skills: Exceptional written and verbal communication skills with the ability to explain complex regulations to non-technical audiences.
- Attention to Detail: Meticulous attention to detail with a strong focus on accuracy in data entry and document preparation.
