Responsibilities
- Manage High-Velocity Correspondence: Process and track incoming/outgoing federal correspondence, ensuring adherence to strict timelines and FOIA (Freedom of Information Act) regulations.
- Document Management: Organize, digitize, and maintain complex filing systems, including classified and sensitive federal records, ensuring 100% data integrity.
- Conference & Scheduling Support: Coordinate complex calendars for executive staff, including domestic and international travel arrangements and federal meeting logistics.
- Regulatory Compliance: Assist in preparing and reviewing reports, briefings, and presentations to ensure alignment with agency policies and federal standards.
- Vendor & Stakeholder Liaison: Serve as the primary point of contact for external vendors and internal departments, facilitating smooth operational workflows.
- Office Operations: Oversee procurement of office supplies and equipment, manage petty cash, and maintain a professional and secure office environment.
Qualifications
- Education: Bachelor’s Degree in Business Administration, Public Administration, or a related field preferred; High School Diploma with significant government experience accepted.
- Experience: Minimum of 3-5 years of administrative experience within a government or federal contracting environment.
- Security Clearance: Current or eligibility to obtain a Secret Clearance is required.
- Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with case management software (e.g., Salesforce, SharePoint).
- Communication Skills: Exceptional written and verbal communication skills with the ability to convey complex information clearly and concisely.
- Attention to Detail: Proven track record of accuracy in data entry, report generation, and document preparation.
- Adaptability: Ability to work in a fast-paced environment with competing priorities and strict deadlines.
