Responsibilities
- Case File Management: Maintain accurate, confidential digital and physical records for client files in compliance with state regulations.
- Client Intake: Greet visitors and direct them appropriately; assist with intake paperwork for new cases.
- Communication Coordination: Answer and screen phone calls, take detailed messages, and route inquiries to the correct staff members.
- Office Operations: Manage office supplies, coordinate meeting spaces, and assist with mail distribution and filing.
- Data Entry: Input data into state databases and government systems with a focus on speed and accuracy.
- Reporting Support: Prepare and compile routine reports for department heads to track workload and performance.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field is a plus.
- Experience: Minimum of 2 years of administrative experience, preferably within a government or healthcare setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software quickly.
- Soft Skills: Strong interpersonal skills with the ability to communicate effectively with diverse populations and staff.
- Availability: Must be available to work a minimum of 15-20 hours per week, including some evenings as needed.
- Integrity: Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion.
