Responsibilities
- Administer municipal elections, voter registration, and ballot initiatives per state/federal regulations
- Manage vital records (birth/death certificates, marriage licenses) with 99.9% accuracy
- Oversee public records requests and ensure compliance with MA Public Records Law
- Supplement City Council meetings agenda preparation, minutes, and legislative tracking
- Lead records digitization projects and implement secure document management systems
- Train staff on municipal compliance protocols and records retention policies
- Serve as custodian of official city documents, seals, and historical archives
Qualifications
- Bachelor's degree in Public Administration, Political Science, or related field
- 5+ years municipal government experience with elections/vital records management
- Expert knowledge of Massachusetts General Laws (MGL) Chapter 50-55B and 65
- Advanced proficiency in records management software (e.g., Laserfiche, DocuWare)
- Proven ability to manage high-volume public records requests within legal deadlines
- Strong project management skills for digitization and process improvement initiatives
- Professional certification (e.g., CRM, CRM-M) preferred
- Fluency in English; Spanish proficiency strongly preferred
